CANCELATION POLICY
- Payment Structure and Refund Eligibility
A. Participants may pay the program fee in one or two installments. The two-installment option can only be selected until March 15th for October participants. After that date, payment can only be made in one installment.
- If you decide to pay in one installment, this comprises the Reservation Fee –€500– (which is non-refundable, except in the circumstances in point 2.A) + the Program Fee (remaining balance).
- In the two-installment option,
- the first payment is the Reservation Fee (€500), which confirms interest and reserves a place in the program. This fee is non-refundable, except in the circumstances in point 2.A.
- the Program Fee subsequently confirms participation and must be paid in full no later than April 1st for October participants.
Participants who fail to complete the second payment by the deadline will be considered to have withdrawn from the program and will forfeit their placement. In such cases, no refund will be issued for the Reservation Fee. Refund eligibility for the Program Fee (if already paid) will follow the cancellation timelines outlined below.
- After receiving the full fee, either in one or two installments
A. If the program is totally or partially canceled by the Regional Education Authority due to force majeure:
- before my official Letter of Appointment is issued: ConversaSpain will offer me other suitable options (if available) or reimburse me for the fee paid, and I will have no right to any additional payments.
- at the time or after my official Letter of Appointment is issued: I have the right to appeal to the Regional Education Authority and therefore I refuse to present any claims against ConversaSpain. Nevertheless, ConversaSpain’s policy is to reimburse the corresponding proportional fee, based on the selected program.
B. If I withdraw from the program for any reason (personal reasons, family emergency, etc.), I must notify ConversaSpain in writing by April 1st for October participants in order to receive a full refund of the Program Fee; or June 1st for October participants in order to receive one-third of the Program Fee. After that period, I will have no right to be reimbursed.
C. If I secure a placement in a public school through any organization or institution other than ConversaSpain, this agreement will become void, and I will not receive any refund of the fee paid.
D. If I join the program and later cannot participate due to medical advice, the dates established in point 2.B still apply. Without proper notice, I will not be eligible for a refund.
E. If I withdraw before the program starts due to serious, unexpected medical conditions or pregnancy, I must provide a doctor’s note. ConversaSpain will review my case and may offer either a placement postponement within the same school year, if available, or a partial refund of one-third of the Program Fee.
F. I am solely responsible for obtaining my visa (meeting all consulate requirements on time) and ensuring that my passport is valid, with at least two blank pages. Visa issues or delays are not considered force majeure, and no refund will be granted. The Regional Education Authority may allow late arrival, but ConversaSpain is not responsible if that is denied.
G. If I am expelled from the program by either the Regional Education Authority or ConversaSpain due to document inconsistencies, misconduct, missing paperwork, or lack of communication, I will not receive any kind of refund.
H. If I miss the Immersion Week because my visa is delayed, I will not receive a full refund. However, if I can justify the delay, ConversaSpain may mediate with the provider for a partial refund on accommodation and a lesson voucher, though the provider makes the final decision. No refund will be given for unjustified or personal delays.
